Office Manager
Title: Office Manager (Part Time and/or Full Time)
Employer: CEF of VA Inc., Northern Virginia Chapter
Report to: Local Director
GENERAL RESPONSIBILITIES: Oversee all office operations
Financial
· Send out contribution receipts and annual statements to donors
· Help with printing, mailing, and recording donations from appeal and other letters
Public Relations
· Greet office visitors and answer phone calls
· Compile and organize materials for Pastor’s Packet and Principal’s Packet
· Interact with venues and business contacts for events
· Handle CEF’s child protection screening for staff, committee, and volunteers
Internal Communication & Collaboration
· Facilitate the dissemination of information to GNC/JYC teams
· Gather and assimilate monthly GNC reports and update it in CEF’s MRA system and the GNC roster spreadsheet
Clerical
· Request insurance certificates for facility use requests for GNCs and update it each year for each public school system (seasonal)
· Purchase office supplies and maintain inventory of CEF materials as needed
· Print and sort the GNC registration form for schools, CYIA packets and other resources as needed (seasonal)
· Work with the Prayer Champion and create a monthly prayer calendar for NOVA Chapter friends and supporters
· Send the weekly prayer requests and praises to the State’s Prayer Coordinator and prayer supporters
· Compile outreach packets for distribution to pastors, churches and schools and for special events as needed
· Maintain files (both electronic and hard copy) of policies, general office procedures, correspondences and various statistical reports in accordance with record retention guidelines with monthly backup to external hard drive
· Place orders for GNC materials from CEF Press, create the invoice, and send out the invoices as needed
· Other duties as assigned
QUALIFICATION
· Active in a local church
· Two years’ minimum experience in administrative support role in a professional environment
· Demonstrated experience handling multiple tasks simultaneously
· Demonstrated experience in MS Office and/or Quick Book
· Demonstrated experience in file maintenance, editing, and proof reading
· Professional appearance and demeanor
· Bachelor’s degree preferred

· Excellent communication and interpersonal sills
· Excellent assessment and observation skills, with attention to detail
· Excellent organizational skills, particularly accuracy in record keeping and effective time management
· Ability to prioritize projects and be discrete, exercising good judgment
· Ability to plan and coordinate events, programs, and administrative workflow
· Ability to maintain professional rapport in all modes of communication
· Ability to work independently with minimum supervision and as an effective team member

We serve churches and individuals by equipping them to fulfill the great commission as an ambassador for Christ – reconciling the lost with the message of the gospel.

Child Evangelism Fellowship (CEF) of Virginia is a church-assist organization focused on evangelizing and teaching children ages 4-14. Simply stated, CEF Virginia trains ministry teams who volunteer to conduct evangelistic events usually outside the church walls. Child Evangelism Fellowship of Virginia serves churches and individuals by equipping them to fulfill the great commission. We help them to be an ambassador for Christ, equipping them to reconcile the lost with the message of the gospel.
CEF Virginia serves all of the state chapters throughout Virginia. We have several different ministries for children such as the Good News Club, 5-Day Club and CYIA. We host several events through these ministries thereby serving the churches with proven children’s ministry training, materials and methods. This in turn allows us to lead the chapter communities in evangelizing children
